Office & Industrial Relocation
Employee Instructions

1. Marking
• Label every item to be moved. If items are separated, all parts or sections must be tagged.
• Labels are pressure-sensitive.
• Place labels as illustrated on placement sheet. Apply approximately one week prior to move; remove immediately after move.
• Crimp corner of commercial label when applying to office furniture. By doing so, labels are easily removed.

2. Desks
• Remove contents and pack into cartons.
• Disconnect wiring, telephones, or any equipment fastened to desks.
• Pack small items such as pens, clips, and rubber bands in envelopes before packing into cartons.
• Pack breakables carefully into cartons.
• Items too large for cartons should be bundled, tied or taped together and labeled.
• Typewriter stands, desk extensions, glass tops, desk pads, etc. must be individually labeled.

3. Credenzas
• Remove contents and pack into cartons.
• Remove all loose clips that support a credenza shelf. Label shelf and leave in credenza.

4. File Cabinets
• Standard and fireproof file cabinets can be moved with contents intact. Label and move pressure plates forward to secure contents in drawer.
• Lateral File Cabinets – 2–drawer cabinets can be moved with the contents intact. Larger cabinets will be surveyed by your project manager. Based upon the size of the cabinet and the brand, he will advise you accordingly regarding the extent of unpacking.
• Blueprint or map file cabinets generally can be moved with contents intact. Each drawer should have some type of slipcover that must be used to hold the contents in place. If there isn't a slipcover, you may have to line each drawer with cardboard to prevent small and delicate contents from shifting.
• File cabinets should be locked. Keys should be packed into tote carton or securely taped to file cabinet. Do not leave keys in locks – keys could be broken off.
• If your file cabinet has a push-button lock, make sure you have the key. If not, use masking tape and wrap around the lock several times.

5. Bookcases
• Remove contents and pack into cartons.
• Label bookcases plus each shelf, glass or parts removed.
• Remove all loose clips that support the shelves. Label shelves and place them in bookcases.

6. Metal Supply Cabinets
• Remove supplies and pack into cartons.
• If possible, lock all cabinets and pack keys into tote carton or tape securely to cabinet.
• If the cabinet cannot be locked, please tape the doors shut. Supply cabinets are the only piece of furniture that we ask you to tape shut.

7. Chairs
• Label each chair on the metal or wood surface. The labels will not adhere to upholstery.
• Remove all loose casters and pack into your personal carton.

8. Shelving Units
• Unless contracted with the mover or installer, separate shelving units into individual, moveable sections.
• Common bond, clip, type or shelving units without side or back braces may have to be totally disassembled to move.
• Potter Warehouse should be shown all shelving units to be moved.

9. Computer Equipment
• Your service representative should make sure all levelors are raised or removed, remove kick plates, tape shut any side or end panels that easily open, and remove any low-hanging panels. Often, other service representatives overlook these concerns.
• Each machine must be labeled. The keyboards as well as the monitor for a PC or CRT must be individually labeled.
• Pack keyboard, cables and mouse into your tote box. If requested, we can provide plastic bubblewrap bags for these items.

10. Typewriters and Office Machines
• Secure typewriter margins by placing both margin stops in the center.
• Pack covers, pads, etc. into cartons.
• Unplug and wrap cords around machines. Detachable cords should be packed.
• Check to see if your typewriter is fastened to your desk. If so, notify move coordinator, who will arrange for unfastening.

11. Reproduction Machines or Special Equipment
• All inks or fluids must be removed and packed in tightly-capped containers.
• Lightbulbs or loose glass should be removed.
• All plastic trays must be removed and packed into cartons.
